How Brandeis documents work
Brandeis says that diplomas, transcripts and enrollment or degree verification letters must be notarized before they reach the Secretary of the Commonwealth. Its Office of the University Registrar helps with parts of the process: it can authenticate and notarize your documents and send them to the Secretary of the Commonwealth, with a prepaid mailer you provide for the return. You order a transcript through Workday or with a signed request form, request a degree certification letter by email, and order a replacement diploma when you don't want to send your original. You can also pick up notarized documents in person.
Brandeis also issues CeDiplomas, which can be validated online, and notes that an apostille may not be required for one. If your recipient does want an apostille, we can take it from the notarized record forward. Some institutions will accept a certified copy of your academic record. In those cases, we can come to you, notarize the document and provide an expedited apostille. Please confirm this option is acceptable with the recipient first. Otherwise, we partner with the school to ensure international acceptance.
How your Brandeis University record gets notarized
Massachusetts will apostille an academic record notarized with any of its four notarial acts: acknowledgment, jurat (affidavit), signature witnessing or copy certification. Which one you need is usually set by whoever receives your documents, so we confirm their requirements before we start.
School official acknowledgment
A Brandeis University official signs your diploma, transcript or verification letter before the notary, and the notarial certificate names the official, their title and the school. Ministries of education and universities abroad often require this.
School official affidavit
The Brandeis University Registrar signs a separate sworn statement confirming your graduation and that the attached records match the school's files, and the notary notarizes it. Spain's Ministry of Education, for example, accepts only this or an acknowledgment. See our Spain guide.
Certified copy, only if your recipient accepts it
As the owner of your diploma, you present the original and we notarize a certified copy, then get the apostille in 1–2 business days. Many recipients won't accept a copy certification, so please confirm with yours first.
Prepared right the first time
We coordinate with the Brandeis University Registrar, prepare the notarial certificate with the details your recipient requires, and file with the Massachusetts Secretary of the Commonwealth. For the school-certified routes, you don't need to come to Boston.

Mistakes Brandeis graduates avoid
- Sending an electronic transcript. A PDF can't carry a Massachusetts apostille. It needs to be a notarized paper record.
- Using a bank notary. A notary can't confirm that a university record is genuine on their own. The notarization needs to involve your registrar.
- Getting an apostille for a non-Hague country. The UAE, Qatar, Kuwait and others need embassy legalization instead.
- Forgetting the translation. Many countries won't accept English-only records. We add certified translation to the same order.
- A name that doesn't match your passport. If your name has changed since graduation, tell us early.
- Forgetting to say it's for an apostille. Brandeis asks you to tell them when a transcript or letter needs notarizing for the apostille process.

Where we meet you
Frequently asked questions
Can Brandeis notarize my degree certification letter?
Yes. Brandeis asks you to tell them the letter must be notarized for the apostille process.
Do I need an apostille on my CeDiploma?
Brandeis notes an apostille may not be required for a CeDiploma, because it can be validated online. Ask your recipient first. If they want an apostille, you'll need a notarized paper record.
Can you translate into Hebrew?
Yes. We provide certified translation into Hebrew and many other languages.
Can my digital or electronic diploma be apostilled?
Usually not as it is. A certified electronic diploma is a secure file that the recipient verifies online, and some recipients accept it directly, so ask them first. For an apostille, Massachusetts needs a notarized paper document: usually a notarized copy of your diploma, a notarized transcript or a notarized degree verification letter. Tell us what your recipient asked for and we’ll confirm the right route.
