What teaching visas usually require

Requirements vary by country, visa type and employer, but most teaching programs ask for some combination of an FBI background check with a federal apostille, a diploma with an apostille, and sometimes transcripts or a degree verification letter. Countries outside the Hague Convention, such as the UAE, need full embassy legalization instead. We start with your employer's or recruiter's exact checklist and build the packet around it.

Popular destinations we prepare packets for

  • South Korea (EPIK and private schools)
  • Japan (JET and private schools)
  • China, which now accepts apostilles
  • Vietnam, which now accepts apostilles
  • Spain (language assistant programs)
  • The UAE, Qatar and Kuwait (embassy legalization)

Always confirm current requirements with your employer or recruiter.

Tips from experience

Start early

FBI checks and federal apostilles take time. Begin as soon as you accept an offer.

Match the names

The name on your diploma, FBI check and passport should match. Tell us about any differences.

Ask about copies

Some countries accept a notarized copy of your diploma, others need the original. We'll help you check.

Non-Hague countries

For the UAE and Gulf countries, see UAE Document Attestation.

How we build your packet

We start with the exact checklist from your school, program or recruiter, then work out the route for each document. A diploma from a Massachusetts school usually needs the registrar's notarized signature before it goes to the Secretary of the Commonwealth. Your FBI background check gets a federal apostille from the U.S. Department of State. If you're heading to a country outside the Hague Convention, each document also goes through embassy legalization. We track every piece and send it all together.

Situations we handle often

An offer with a tight start date

We work on your diploma while your FBI check is still processing.

A diploma from another state

We coordinate the apostille with that state through our network.

A name change since graduation

We help you document the link between the name on your diploma and your passport.

A move to the Gulf

The UAE, Qatar and Kuwait need embassy legalization rather than an apostille.

Mistakes we help you avoid

  • Sending your only original diploma. Many schools can issue a replacement or a notarized copy for the apostille. We'll help you check.
  • The wrong kind of FBI check. Most countries want the FBI Identity History Summary, and some want it recent. Check your country's rules.
  • Getting a state apostille on a federal document. FBI checks are federal and need the federal apostille.
  • Starting too late. Background checks and federal processing take time. Start as soon as you have an offer.

Official sources

We link to official sources so you can check the current rules yourself. Requirements change, and the receiving office always has the final word.

Mail-in service from anywhere

You don't need to live in Massachusetts. Teachers across the U.S. mail us their documents, and we coordinate with schools in other states through our nationwide network.

How academic records get notarized for an apostille

Massachusetts will apostille an academic record notarized with any of its four notarial acts: acknowledgment, jurat (affidavit), signature witnessing or copy certification. Which one you need is usually set by whoever receives your documents, so we confirm their requirements before we start.

School official acknowledgment

A school official signs your diploma, transcript or verification letter before the notary, and the notarial certificate names the official, their title and the school. Ministries of education and universities abroad often require this.

School official affidavit

The registrar signs a separate sworn statement confirming your graduation and that the attached records match the school's files, and the notary notarizes it. Spain's Ministry of Education, for example, accepts only this or an acknowledgment. See our Spain guide.

Certified copy, only if your recipient accepts it

As the owner of your diploma, you present the original and we notarize a certified copy, then get the apostille in 1–2 business days. Many recipients won't accept a copy certification, so please confirm with yours first.

Prepared right the first time

We coordinate with the registrar, prepare the notarial certificate with the details your recipient requires, and file with the Massachusetts Secretary of the Commonwealth. For the school-certified routes, you don't need to come to Boston.
