How military documents are authenticated

Because military and VA records are issued by federal agencies, they're authenticated by the U.S. Department of State. Countries in the Hague Apostille Convention accept the federal apostille. Countries outside it need a federal authentication followed by embassy legalization. Our DC Satellite Office handles both in person, so your documents don't sit in the mail.

Why military and veterans documents need care

Military and VA documents are federal, so they're authenticated by the U.S. Department of State, not by any state. The Department of State authenticates an original signature or seal of a federal official, so a photocopy of your DD-214 or a letter printed from an online account may not qualify. Often the solution is a certified copy from the National Personnel Records Center or an original signed letter from the agency. We'll look at what you have and tell you the right version before anything is sent.

Mistakes we help veterans avoid

  • Sending a photocopy of your DD-214. A certified copy from the National Personnel Records Center is usually needed.
  • Getting a state apostille on a federal document. No state can apostille a federal record.
  • A benefit letter printed from an online account. Some foreign offices want an original signed letter. Ask what they accept.
  • Forgetting translation. Many retirement destinations want documents in Spanish or another language.

The Philippines

A common destination for retired service members and their families.

Frequently asked questions

Can a state apostille my DD-214?

No. It's a federal document, so it's authenticated by the U.S. Department of State.

Will a photocopy of my DD-214 work?

Usually not. A certified copy from the National Personnel Records Center is the safest choice.

Do you help veterans outside Massachusetts?

Yes. Veterans mail us documents from across the U.S. and abroad.

Do you translate documents for retirement visas?

Yes. See Certified Translation.

Can you help me order my DD-214?

We can point you to the National Personnel Records Center request process and handle the authentication once the certified copy arrives.

Do you handle Social Security benefit letters too?

Yes. They're federal documents, and we'll confirm the version that can be authenticated.

Can you notarize a letter I wrote about my pension?

Yes, but some countries want the original letter from the agency. Ask what they accept.

Do you work with military spouses?

Yes, including documents for family members moving with you.
