How Long Does a Massachusetts Apostille Take?

The apostille itself is rarely what slows people down. It's everything that has to happen before it, and after. Here's a realistic timeline for each type of document, and how to plan around a deadline.

The short answer

Once a document is ready to file, a Massachusetts apostille can be issued quickly. The Secretary of the Commonwealth handles walk-in requests at its Boston office, and mailed requests take longer, often a couple of weeks plus mailing time. Because we file in person in Boston, our Massachusetts apostilles are typically ready in 1–2 business days once we have your document.

The real question is how long it takes to get your document ready to file, and whether you also need federal or embassy steps.

Timeline by document type

DocumentWhat usually takes the timePlan for
Notarized document (power of attorney, affidavit, letter)Scheduling the signingOften same day or next day to notarize, then 1–2 business days for the apostille
Massachusetts birth, marriage or death certificateGetting a certified copy from the clerk or stateA few days to a few weeks for the copy, then 1–2 business days
Diploma or transcriptThe registrar's notarization processDays to six weeks depending on the school, then 1–2 business days
Court recordsOrdering certified copies from the courtVaries by court
Corporate documentsOrdering certificates from the stateOften quick for Massachusetts records
FBI check or other federal documentThe U.S. Department of StateAround 10 business days through our DC Satellite Office, longer by mail
Embassy legalizationState, federal and embassy steps in sequenceSeveral weeks, depending on the embassy

These are typical ranges, not guarantees. Government offices and embassies set their own timelines and can change them without notice.

What causes most delays

  • The wrong version of the document. A photocopy, an electronic transcript or an old certified copy gets rejected and you start over.
  • An incomplete notarization. A missing date, seal or notary expiration date can cause the Secretary of the Commonwealth to turn a document down.
  • Waiting on a registrar or clerk. Schools and town offices work on their own schedules.
  • Federal documents sent to the state. FBI checks and other federal records need the U.S. Department of State.
  • Embassy surprises. Changed forms, appointment requirements or holiday closures.
  • Translation done in the wrong order. Some countries want the apostille translated too.

How to plan around a deadline

  1. Write down your deadline: a consulate appointment, visa date, closing or start date.
  2. List every document the receiving office wants, and whether each is state or federal.
  3. Start the slowest items first. FBI checks and school records usually take longest.
  4. Run steps in parallel. Order certified copies, book signings and request FBI checks at the same time.
  5. Build in a buffer for shipping, especially internationally.

Can it be done the same day?

Sometimes. If your document is already notarized correctly, or is a certified copy ready to file, a Massachusetts apostille can sometimes be done very quickly. Federal apostilles and embassy legalization can't be done the same day. If you're up against a hard deadline, call us at 617-203-8755 and we'll look at every option.

This guide is general information, not legal advice. Requirements change, and the office receiving your document always has the final word. Example timelines

Power of attorney for property in Italy

We notarize at your home, often within a day or two of your call. The apostille is typically ready 1–2 business days later, then the document ships to Italy. Most of the time is international shipping.

Birth certificate for a Spanish visa

Ordering a recent certified copy is the first step and depends on the clerk or state office. Once it's in hand, the apostille follows in 1–2 business days. If the consulate wants a sworn translation, add time for that after the apostille.

Diploma for a job in Korea

The registrar's process is usually the longest step, from a few days to several weeks. The apostille follows in 1–2 business days once the notarized diploma reaches us. An apostilled FBI check, often required too, runs in parallel.

Corporate documents for the UAE

The UAE isn't a Hague member, so documents go through state certification, U.S. Department of State authentication and embassy legalization. Plan for several weeks, and start as early as you can.

Why filing in person matters

Mailing documents to the Secretary of the Commonwealth means waiting for the mail twice and for the office to work through its mailed requests. Filing in person in Boston skips that wait. It also means problems surface immediately. If something about a document needs fixing, we find out right away and can usually correct it the same week, instead of learning about it weeks later when the document comes back by mail.

Frequently asked questions

How long does the Secretary of the Commonwealth take by mail?

It varies. Mailed requests generally take longer than walk-in requests, often a couple of weeks plus mailing time. We file in person, which avoids the mail wait.

How long does a federal apostille take?

Federal apostilles from the U.S. Department of State take longer than state apostilles. Through our DC Satellite Office, plan for around 10 business days.

Can you guarantee a delivery date?

No one can guarantee government or shipping timelines. We give you a realistic estimate and keep you updated at every step.

Does it take longer for non-Hague countries?

Yes. Embassy legalization adds federal and embassy steps, usually several weeks.

How far ahead should I start?

As soon as you know you need documents. For a single notarized document going to a Hague country, a week or two is usually comfortable. For vital records, school records, federal documents or embassy legalization, start several weeks ahead.

Do holidays affect timing?

Yes. State and federal offices close on government holidays, and many embassies also close for their own national holidays. We factor these in when we estimate your timeline.
