How MCPHS documents work

Health professionals moving abroad usually have more paperwork than most graduates. A pharmacy council or health ministry may want your diploma, your transcript, a verification of your U.S. license and sometimes a background check, each authenticated for the destination country. We help MCPHS graduates put the whole set together.

MCPHS's registrar issues your academic records. Ask the registrar how to request a notarized diploma or transcript for an apostille, and have the notarized record sent to us. We file it in person with the Secretary of the Commonwealth and add translation or legalization as needed. Some institutions will accept a certified copy of your academic record. In those cases, we can come to you, notarize the document and provide an expedited apostille. Please confirm this option is acceptable with the recipient first. Otherwise, we partner with the school to ensure international acceptance.

How your MCPHS University record gets notarized

Massachusetts will apostille an academic record notarized with any of its four notarial acts: acknowledgment, jurat (affidavit), signature witnessing or copy certification. Which one you need is usually set by whoever receives your documents, so we confirm their requirements before we start.

School official acknowledgment

A MCPHS University official signs your diploma, transcript or verification letter before the notary, and the notarial certificate names the official, their title and the school. Ministries of education and universities abroad often require this.

School official affidavit

The MCPHS University Registrar signs a separate sworn statement confirming your graduation and that the attached records match the school's files, and the notary notarizes it. Spain's Ministry of Education, for example, accepts only this or an acknowledgment. See our Spain guide.

Certified copy, only if your recipient accepts it

As the owner of your diploma, you present the original and we notarize a certified copy, then get the apostille in 1–2 business days. Many recipients won't accept a copy certification, so please confirm with yours first.

Prepared right the first time

We coordinate with the MCPHS University Registrar, prepare the notarial certificate with the details your recipient requires, and file with the Massachusetts Secretary of the Commonwealth. For the school-certified routes, you don't need to come to Boston.

Mistakes health professionals avoid

  • Sending an electronic transcript. A PDF can't carry a Massachusetts apostille. It needs to be a notarized paper record.
  • Using a bank notary. A notary can't confirm that a university record is genuine on their own. The notarization needs to involve your registrar.
  • Getting an apostille for a non-Hague country. The UAE, Qatar, Kuwait and others need embassy legalization instead.
  • Forgetting the translation. Many countries won't accept English-only records. We add certified translation to the same order.
  • A name that doesn't match your passport. If your name has changed since graduation, tell us early.
  • Doing it piece by piece. Councils often reject incomplete files. We build the whole set at once.

Planning your timeline

Allow time for the registrar to issue and notarize your records and for license verifications to arrive. Once we have each notarized document, the apostille is typically ready in 1–2 business days. Councils often have intake deadlines, so tell us yours.

Official sources

Each registrar sets its own forms, timelines and fees, and can change them at any time. We link to official pages so you can check the current process yourself.

Where we meet you

MCPHS's Boston campus is in the Longwood Medical Area, where we meet students, graduates and hospital staff often. We come to you anywhere in Greater Boston, or you can mail us your documents from anywhere in the world.

Frequently asked questions

Can you apostille my pharmacy license verification too?

Yes. See License Verification Apostille.

Do Gulf countries accept an apostille?

Some do now, and others still need legalization. We'll confirm the current route for your destination.

Can my digital or electronic diploma be apostilled?

Usually not as it is. A certified electronic diploma is a secure file that the recipient verifies online, and some recipients accept it directly, so ask them first. For an apostille, Massachusetts needs a notarized paper document: usually a notarized copy of your diploma, a notarized transcript or a notarized degree verification letter. Tell us what your recipient asked for and we’ll confirm the right route.
