Before you mail anything
Get the right version
Certified copies for vital records and court records; originals for FBI checks. Photocopies can't be apostilled.
Notarize in your state
Documents that need notarization must be notarized where you are, then apostilled by that state. We can coordinate it.
Check the notary section
Make sure the notarial certificate is complete, with the notary's seal and commission expiration.
Tell us your deadline
The date your documents must arrive at their destination.
What we handle from every state
| Document | Who issues the apostille | What we need from you |
|---|---|---|
| Birth, marriage and death certificates | The state where the record was issued | A certified copy from the state or county vital records office |
| Notarized documents | The state where the notary is commissioned | The signed original with a complete notarial certificate |
| Court records | The state where the court sits | A copy certified by the court clerk |
| Company records | The state where the company was formed | A certified Good Standing or formation document. See Delaware apostille. |
| FBI checks and federal documents | The U.S. Department of State | The original, handled through our DC Satellite Office |
| Massachusetts documents | The Secretary of the Commonwealth | Filed by us in person in Boston |
State rules we watch for
Every state runs its apostille office differently, and the small rules are what cause rejections. Some states, including New York, Maryland and Tennessee, need a county clerk to certify the notary before the state will apostille. Others, such as Connecticut, New Jersey and Utah, require an online request before the document is delivered. Delaware won’t accept remotely or electronically notarized documents, and Minnesota wants personal documents notarized by a Minnesota notary.
We keep track of these rules for all 50 states and DC, along with each state’s typical processing time. See state apostille offices and timing.
Why clients outside Boston use us
One point of contact
Documents from three states and a federal agency still come back to you as one order, from one team.
Country-first planning
We start with where the document is going, so you get an apostille or the full authentication chain, whichever your country requires.
Translation in the same order
Certified translation can be added so the whole package is ready to submit.
Worldwide delivery
Documents ship back to you, or straight to a consulate, attorney or employer abroad, with tracking.
Packing and shipping your documents
Use a trackable service and keep the tracking number. Don’t staple, punch or remove staples from certified copies or notarized documents, since a document that looks altered can be rejected. Send every page, including attachments and exhibits, and keep a photocopy of everything for your records.
Common nationwide requests
Clients across the U.S. send us birth and marriage certificates for citizenship and residency, FBI background checks for work visas and teaching abroad, diplomas and transcripts for study and professional licensing, Delaware and other state company records for business overseas, and powers of attorney for property sales abroad. Many orders combine several of these with a certified translation and, for countries outside the Hague Convention, the full authentication and embassy legalization chain.
Frequently asked questions
Can you notarize my documents if I'm not in Massachusetts?
No. Our mobile notarization covers Greater Boston, and Massachusetts notaries can only notarize in Massachusetts. Have your documents notarized locally, then send them to us for the apostille.
Can you get apostilles from other states?
Yes. We handle all 50 states and federal documents.
Can you ship documents directly abroad?
Yes, with tracking.
How do I pay?
We send an invoice when your documents arrive. See How Our Pricing Works.
Do you accept remotely notarized documents?
It depends on the state that will apostille it. Many states apostille their own remote online notarizations, but some, such as Delaware, don’t. Tell us how your document was notarized and we’ll confirm before you send it.
Can I send documents from several states in one order?
Yes. We route each document to the office that issues its apostille and return everything together.
How long does it take?
It depends on the state. Some return documents in a day or two, others take several weeks. We give you an estimate with your quote, and our Document Route Planner shows the steps for your country.
