What remote work visas usually require

Remote work and digital nomad visas let you live abroad while working for a company or clients elsewhere. Each country sets its own criteria, but the document list is similar almost everywhere: a recent criminal background check, proof of income and remote employment, and civil records for any family members joining you. Two details cause most delays. First, an FBI background check must carry the federal apostille from the U.S. Department of State, and some consulates state explicitly that a state apostille will not be accepted. Second, background checks expire quickly, often within 90 days to six months, so the timing must be planned around your consulate appointment.

A planning timeline

WhenWhat to do
Three to four months before your appointmentConfirm your consulate's checklist and book your appointment. Gather income, employment and company documents.
Inside the validity windowRequest the FBI check so it is still current on your appointment date: within 90 days for Portugal's D8, within six months for Spain's telework visa.
As soon as the FBI result arrivesSend it for the federal apostille. Prepare notarized letters and order new certified birth and marriage certificates.
Two to three weeks beforeComplete translations, which often must include the apostilles, and assemble originals and copies in the order the consulate expects.

Consulates can change checklists without notice. Confirm the current list shortly before you begin.

Proving your income and remote work

Every remote work visa asks you to show stable income from work performed for employers or clients outside the destination country. Employees usually provide a letter from their employer confirming the position, salary and permission to work remotely, together with an employment contract and recent pay records. Self-employed applicants and business owners typically show client contracts, company records and bank statements, and some countries ask for evidence that the company has operated for a minimum period, as Spain does with a company certificate showing at least one year of activity. Letters that must be apostilled are signed in front of a notary first, and we notarize them with you, or your employer's signer, anywhere in Greater Boston.

Good to know

Start with the FBI check

It takes the longest and expires the fastest. See How to Apostille an FBI Background Check.

Spain

Our Spain page covers the telework, non-lucrative and student visas. See Apostille for Spain.

Portugal

D8 applicants often compare it with other residency routes. See Portugal Documents.

Moving with family

Spouses and children usually need apostilled birth and marriage certificates. See Vital Records Retrieval.

Common mistakes we help you avoid

  • A state apostille on an FBI check. Spain's consulate, among others, rejects it. The federal apostille is required.
  • An expired background check. Portugal wants it issued within 90 days of submission, Spain within six months.
  • Missing records from other countries. If you lived elsewhere recently, you may need that country's check too.
  • Unnotarized employer letters. Letters that must be apostilled first need a proper notarization.
  • Forgetting family documents. Dependents need their own apostilled records.

Frequently asked questions

Does my FBI check need a state or federal apostille?

A federal apostille from the U.S. Department of State. Some consulates, including Spain's, state that a state apostille is not valid.

How recent must my FBI check be?

It depends on the country. Portugal's D8 requires it to be issued less than 90 days before you submit, and Spain's telework visa no more than six months.

Can you notarize my employer's letter?

We notarize the signature of the person signing the letter. If your employer is out of state, the letter can be notarized there and apostilled by that state, and we can coordinate it.

Do you translate documents into Spanish or Portuguese?

Yes, through our ATA corporate membership, where the consulate accepts a certified translation.

Do my spouse and children need their own documents?

Usually, yes. Family members typically need apostilled birth and marriage certificates, translated as the consulate requires.

Can you ship my documents to me abroad?

Yes, with tracking, anywhere in the world.
