Certified passport copies for use abroad

Foreign banks, company registries, property offices and immigration authorities often ask for a certified copy of your passport rather than the original. In Massachusetts, a notary can prepare a certified copy in one of two ways: a copy certification, in which the notary makes or supervises the copy and certifies that it is true, exact, complete and unaltered, or a true-copy statement, in which you declare under oath that the copy is accurate and the notary notarizes your signature. Once notarized, the document can be apostilled by the Massachusetts Secretary of the Commonwealth for use in any Apostille Convention country, or certified for embassy legalization elsewhere.

Which format to choose

FormatHow it worksOften requested by
Notary copy certificationThe notary copies the passport, compares it with the original and completes a §15(e) certificateBanks, schools and many foreign offices
Sworn true-copy statementYou sign a statement under oath that the copy is true and complete; the notary completes a juratOffices that want the holder's declaration
Self-attested copyYou sign a self-attestation on the copy, which is then notarizedIndian authorities and some company registries. See Self-Attested Documents

The receiving office decides which format it accepts. Send us its instructions, and we will prepare the right one.

Good to know

Bring the original

A certified copy can only be made from the original passport, presented in person. A photocopy brought from home cannot be certified.

Valid passport

Most recipients expect a copy of a current, unexpired passport.

Foreign passports too

We can certify copies of foreign passports presented in Massachusetts, subject to the recipient's requirements.

Pair it with proof of address

Banks and registries often ask for a certified or self-attested proof of address at the same time.

Common mistakes we help you avoid

  • A black-and-white copy when color was requested. Check the recipient's instructions.
  • Only the photo page when all pages were requested. Some offices want every page, including blank ones.
  • The wrong format. Some recipients want a copy certification, others a sworn statement or a self-attestation.
  • An expired passport. Renew first if the recipient requires a current passport.
  • Skipping the apostille. A notarized copy alone is often not accepted abroad.
