What an enrollment letter apostille involves

A certificate or letter of enrollment confirms that a student is, or was, enrolled at a school, often with dates, program and full-time status. To be apostilled in Massachusetts, the letter must carry an original signature that the Secretary of the Commonwealth can authenticate. In practice, that means the registrar signs the letter in front of a notary, the notary completes the notarial certificate, and the Secretary of the Commonwealth issues the apostille for the destination country. The letter must come from a Massachusetts school for a Massachusetts apostille. Letters from schools in other states are apostilled by that state.

When students and families need one

  • Student visas and residence permits for study abroad
  • Dependent benefits, child allowances and family support programs abroad
  • Foreign scholarships, fellowships and government sponsorships
  • Military service deferrals and draft exemptions in some countries
  • Proof of student status for tax, pension or insurance purposes abroad
  • Exchange programs and transfers to foreign universities

How we handle it

  1. 1

    Confirm what the recipient wants

Some offices ask for specific wording, such as enrollment dates, expected graduation or full-time status. We review the request first, so the letter is written correctly the first time.

  2. 2

    Coordinate with the registrar

We work directly with registrars across Greater Boston. Some schools have a notary on staff, and for others we arrange the notarization with the registrar. Some schools require a signed letter of authorization from the student.

  3. 3

    Notarization and state apostille

We file in person with the Massachusetts Secretary of the Commonwealth, typically within one to two business days.

  4. 4

    Translation and delivery

We add certified translation when the destination requires it, email you scans upon completion and ship the originals with tracking, anywhere in the world.

Good to know

You do not need to be in Boston

Students and parents abroad can authorize us to request and collect the letter on their behalf. See Sample Letter of Authorization.

Pair it with other records

Visa and benefit applications often ask for a transcript or diploma at the same time. We handle them together. See Diplomas and Transcripts.

K–12 students

Families moving abroad often need enrollment letters from elementary, middle or high schools too. See School Records for Families Moving Abroad.

Non-Hague countries

For countries outside the Apostille Convention, the letter is certified by the state, authenticated by the U.S. Department of State and legalized by the embassy. See Embassy Legalization.

Common mistakes we help you avoid

  • Submitting a portal printout. Without an original signature, it cannot be apostilled.
  • Relying on a Clearinghouse certificate. Massachusetts cannot apostille it. A signed registrar letter is the reliable route.
  • Missing details. If the recipient needs dates, program or full-time status, the letter must say so.
  • A name that does not match your passport. Let us know about any name change at the start.
  • Waiting until the visa appointment. Registrar timing varies, so start as early as possible.

Frequently asked questions

Can a letter of enrollment be apostilled?

Yes, when it is signed by the registrar in front of a notary. The Massachusetts Secretary of the Commonwealth then issues the apostille.

Can a National Student Clearinghouse enrollment certificate be apostilled in Massachusetts?

No. It carries no original signature of a Massachusetts official, so the state cannot authenticate it. Ask the registrar for a signed letter instead.

My school is in another state. Can you still help?

Yes. The letter is apostilled by the state where the school is located, and we coordinate that for you.

I am abroad. Can you collect the letter for me?

Yes. Many schools accept a signed letter of authorization allowing us to request and collect the letter on your behalf.

Do you work with Boston-area registrars?

Yes. We work directly with registrars across Greater Boston and know how each school handles these requests.
