Meeting at a Back Bay hotel
Copley Place and the Prudential Center. The Westin, the Marriott, the Sheraton and the Mandarin Oriental are linked to Copley Place and the Prudential Center by indoor walkways. Tell us your hotel by name, and we will meet you at its lobby rather than in the shopping center.
Raffles Boston. Reception and the main lounges are on the 17th floor, in the Sky Lobby. Let us know if you would prefer to meet there or in your room.
Hynes Convention Center. If you are in town for a conference, we can meet at your hotel before sessions start, during a break or in the evening.
Back Bay Station and Copley Square. Many Back Bay hotels are a short walk from Back Bay Station and Copley Station, so meeting early before a train or a flight is easy to arrange.
How a Back Bay hotel visit works
We confirm every detail by phone or email first, so the signing itself takes only a few minutes.
- 1
Request a quote or call
Tell us the hotel, the document, how many people are signing and when you need it.
- 2
Choose where to meet
The lobby, a lounge, a meeting room or your guest room. For confidential documents, we recommend somewhere private.
- 3
We arrive on time
Our office is at 501 Boylston Street, in the middle of Back Bay, so we know these hotels and their entrances well.
- 4
Notarized, then apostilled if needed
If your document is going abroad, we take it to the Secretary of the Commonwealth for the apostille and return it to you or ship it.
Staying in Back Bay?

Documents we notarize for Back Bay hotel guests
| Document | Why hotel guests often need it |
|---|---|
| Power of attorney | Visitors from abroad often sign a power of attorney so a relative or attorney at home can act for them. If it will be used outside the U.S., we can arrange the apostille as well. |
| Real estate and closing documents | Sellers and buyers who are traveling sign deeds, seller packages and closing documents from their hotel, then ship the originals back the same day. |
| Affidavits and sworn statements | Signed under oath before a notary with a jurat, often on a deadline set by a court or an attorney. |
| Travel consent for a child | Families traveling with a child sometimes need a notarized consent letter from a parent who isn’t on the trip. |
| Business contracts and corporate documents | Executives in Boston for meetings sign agreements, board resolutions and documents for subsidiaries and bank accounts abroad. |
| Wills, trusts and health care documents | Families gathering in Boston, often around a hospital stay, sign estate planning documents together while everyone is in one place. |
We are notaries, not attorneys. If you are unsure what a document requires, please ask the attorney or company that prepared it.
Apostilles for documents going abroad
Many Back Bay and Downtown hotel guests are visiting from overseas, and their documents are headed home. Most countries require an apostille from the Massachusetts Secretary of the Commonwealth on top of the notarization, and countries outside the Hague Convention require authentication and embassy legalization. We handle both in one engagement: we notarize at your hotel, obtain the apostille, usually within one to two business days, and bring the finished document back to the hotel before you check out or ship it to you anywhere in the world with tracking.
Tell us the destination country when you book, and we will confirm the right steps before the visit. Our Document Route Planner shows the process for each country.
Before we arrive
- Bring a current, unexpired government-issued photo ID with a signature for every signer; a passport works for visitors from abroad
- Leave the document unsigned. You will sign in front of the notary
- Make sure every page is there and no blanks are left to fill in
- Tell us the hotel, your room number or the name on the reservation, and where you would like to meet
- Tell us if the document needs witnesses. We can arrange them
- If your documents were emailed to you, send them to us and we will bring printed copies
- If the document is going abroad, tell us the country so we can plan the apostille or legalization
